Position: Production Coordinator

The Production Coordinator plays a crucial supporting role in the successful execution of events and experiential campaigns within an agency. Working closely with Production Managers and Producers, they assist with the administrative and logistical tasks required to bring creative concepts to life, ensuring all details are meticulously managed.

Day to day, a Production Coordinator helps with vendor liaison, data management, scheduling, equipment tracking, and general administrative support for various production projects. They are highly organised, detail-oriented, and excellent communicators, ensuring the smooth flow of information and resources.

Duties & Responsibilities:

  • Assist Production Managers and Producers with all aspects of event and experiential production.
  • Manage supplier databases, contacts, and quotes, facilitating vendor communication.
  • Help prepare and track production schedules, timelines, and checklists.
  • Coordinate logistical arrangements, including transport, accommodation, and crew movements.
  • Assist with the procurement and tracking of equipment and materials.
  • Prepare production documentation, including permits, contracts, and call sheets.
  • Support on-site operations, including setup, registration, and general event support.
  • Maintain accurate records of production expenses and assist with budget reconciliation.
  • Facilitate communication between internal teams (creative, accounts) and external suppliers.
  • Handle general administrative duties as required to support the production team.

 

Skills & Qualifications:  

  • Bachelor’s degree or diploma in Event Management, Production, or a related field.
  • Proven experience (1-3 years) in a coordinator or assistant role within an events, production, or agency environment.
  • Exceptional organisational skills and attention to detail.
  • Strong administrative and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.
  • Ability to work effectively in a fast-paced team environment and manage deadlines.
  • Proactive attitude with a willingness to learn and take initiative.
