Position: Project Manager (Events/Experiential)
The
Project Manager in an events or experiential agency is the central hub for ensuring projects are delivered efficiently, on time, and within budget, from initial brief to final delivery. They are responsible for coordinating all internal and external stakeholders, managing timelines, resources, and communication flow to bring complex creative concepts to life for agency clients.
Day to day, a Project Manager develops detailed project plans, allocates tasks, manages schedules, tracks progress, and proactively identifies and mitigates risks. They are highly organised, excellent communicators, and adept at balancing creative ambition with practical execution, ensuring seamless delivery across multiple concurrent projects.
Duties & Responsibilities:
- Develop and manage comprehensive project plans, timelines, and budgets for events and experiential campaigns.
- Define project scope, deliverables, and resource requirements in collaboration with Account and Production teams.
- Facilitate effective communication and workflow between creative, production, account service, and external vendors.
- Track project progress, identify potential risks or bottlenecks, and implement solutions.
- Ensure projects are delivered on time, within budget, and meet client objectives.
- Manage project documentation, including status reports, meeting minutes, and change requests.
- Conduct regular project meetings with internal teams and external stakeholders.
- Oversee quality control processes to ensure the highest standards of delivery.
- Manage project closure, including post-project reviews and financial reconciliation.
- Proactively identify opportunities for process improvement and efficiency gains.
Skills & Qualifications:
- Bachelor’s degree in Project Management, Business, Marketing, or a related field.
- Proven experience (3-5+ years) as a Project Manager in a creative, events, or experiential agency environment.
- Strong understanding of project management methodologies (e.g., Agile, Waterfall).
- Exceptional organisational, planning, and time management skills.
- Proficiency in project management software (e.g., Asana, Monday.com, Jira).
- Excellent written and verbal communication and interpersonal skills.
- Ability to manage multiple projects simultaneously and work effectively under pressure.
- Strong problem-solving abilities and a proactive approach to challenges.
- Budget management and forecasting experience.
